Business Challenge 

The existing system did not provide a unified or transparent way to manage ad-hoc procurement requests. Processes lacked sufficient automation, and information flow between roles was often inefficient. The application no longer met modern standards for data management and access control, and both the system’s usability and interface design required significant modernization. 


The goal of the project was to implement a modern application built on the Microsoft Power Platform that would unify and digitalize the entire lifecycle of ad-hoc procurement requests—from submission and quotation to approval and delivery confirmation.

Solution

The modernized system is built on Microsoft Power Platform technologies, incorporating Power Apps Canvas applications and Power Automate workflows. The solution leverages Abesse’s standard Power Platform template components, ensuring significant efficiency gains and faster delivery throughout both the development and application-building phases. 


The system enables E.ON employees to manage and track the full lifecycle of tasks initiated under framework agreements with suppliers in a transparent and traceable way. Users are granted role-based access, allowing requesters, approvers, coordinators, controllers, and administrators to work through interfaces tailored to their specific responsibilities. 


The user interfaces were designed to reflect E.ON’s modern corporate branding. Every step of the process is fully audited, with data stored in an SQL-based relational database and documents managed within SharePoint. The system also supports template management, automated notifications, and the generation of delivery confirmation documents. 

 

Results

With the introduction of the new system, E.ON implemented a modern, scalable solution that significantly reduces manual administrative workload, accelerates processes, and ensures transparency in managing ad-hoc service orders. Built on a managed, platform-based architecture, the system meets strict security and performance requirements while providing a stable and cost-effective operation in the long term.
